Conference Management
CMG assumes responsibility for identifying and contracting meeting space,
and for coordination of events, critical functions and deadline management. We
interact with symposia chairs to ensure
the meeting objectives are clear and appropriate, and that critical objectives
are met most efficiently.
CMG has experience in all aspects of registering attendees for conferences
with up to 1,200 participants. Our experience includes extensive use
of a database for registering meeting attendees, generating all pertinent communications
and assessing information. For each registrant, we routinely record
and track all contact information, date of registration receipt, date confirmation
distributed, specific sessions registered, appropriate payment of fees, special
needs (meals, rooms, handicap, etc.), type and amount of payment, date payment
processed, etc. CMG
realizes that this information plays a very important part in successful conference
planning and assessment. The generation
of complete and thorough histories is critical to the planning of successful
meetings and conferences. The
database is used to generate badges, speaker tent cards, confirmation receipts,
certificates and invoices, and to track specific payment information for each
individual. Credit card and check depositing procedures have been streamlined
to provide the necessary information for reconstruction of the process.
Exhibitors are a very important part of an annual conference, and their
repeat participation is critical to the success of a conference. Exhibits
should be a source of revenue to a society and should be a value-added service
to the members and registrants. Because
exhibitors provide significant income and a service to the professional society
annual conference, it is important that they receive appropriate recognition
for their contribution. CMG uses a number of incentives to attract exhibitors and
keep them coming back.
